The Ministry of Tourism, Wildlife and Antiquities of the Republic of Uganda (“the Ministry”, “we”, “us”) operates this website. We are committed to protecting your privacy and handling your personal information in accordance with the Data Protection and Privacy Act, 2019, and the Data Protection and Privacy Regulations, 2021.
1. Who We Are (Data Controller)
The Ministry of Tourism, Wildlife and Antiquities is the data controller for personal data processed on this website.

2. Information We Collect
We collect only the personal information you choose to provide and limited technical data. Specifically:
- Newsletter subscription: your name and email address.
- Job alerts: your email address, name and areas of interest.
- Careers – applicant account: your name, email address, phone number, password, and any profile information you add (education, work history, skills).
- Careers – job applications: your name, email address, phone number, cover letter, and the CV/documents you upload.
- AI assistant (“Pearl”): the text of the question you type. We do not collect your name or contact details through the assistant, and we do not store the questions.
- Enquiries: your name, email address, phone number and message, if you contact us.
- Technical data: standard web server logs such as your IP address, browser type and pages visited, used for security and site operation.
3. How We Use Your Information
We use your information for the purposes for which it was provided: to respond to enquiries, deliver newsletters and job alerts (only if you subscribe), process job applications and recruitment, provide AI assistance on this website, operate and secure the website, and meet our legal and administrative obligations. We do not sell your personal data.
4. Lawful Basis and Consent
We process personal data on the basis of your consent (newsletters, job alerts, applicant accounts and job applications), legitimate interests (site security and AI assistance), and legal obligations. Where we rely on consent, it is freely given and you may withdraw it at any time. Subscription and application forms require you to tick a consent box before submission.
5. Cookies
This website uses only essential cookies, such as session and login cookies needed for authenticated functions (for example, the administrative area and applicant accounts). We do not currently set marketing or analytics cookies, and we do not use Google Analytics. A cookie notice appears on your first visit to record your acceptance. You can also manage cookies through your browser settings.
6. Cross-Border and Third-Party Processing
The AI assistant (“Pearl”) sends the text of the question you enter to cloud-based AI providers to generate a response. This is a cross-border transfer of the information contained in your question. We do not collect, store or link questions to you, and the information is used only to generate the answer. By using the assistant you acknowledge this arrangement.
The AI providers used by the Ministry are:
- DeepSeek (DeepSeek AI, China): the primary AI model provider. Questions are sent to DeepSeek’s API (platform.deepseek.com) for processing. DeepSeek is pay-per-use and the Ministry has a commercial account.
- Google Gemini (Google LLC, United States): the fallback AI model provider, used when the primary provider is unavailable. Google Gemini also provides text embeddings that help the assistant retrieve relevant Ministry content.
Neither provider receives your name, email, or any other personal information from the assistant — only the text of your question is transmitted. The Ministry has configured the assistant privacy-by-design: no user accounts, no prompt logging, no personal data collection.
We also use the following third-party services, which have their own privacy policies: Google (Google Fonts), Unsplash (stock imagery), and WordPress plugins including Yoast SEO and WP Mail SMTP (email routed through the Government email relay).
7. Data Security
We protect personal data using appropriate technical and organisational measures, including SSL/TLS encryption, access controls, secure hosting, and protection of uploaded job application documents (which are stored in a restricted area accessible only to authorised Ministry staff).
8. Data Retention
We retain personal data only as long as necessary for the purpose for which it was collected:
- Newsletter subscriptions and job alerts: until you unsubscribe or ask us to delete them.
- Job applications and CVs: for the recruitment process and for a period of up to 12 months after the vacancy closes, unless a legal or personnel obligation requires longer.
- Enquiries: up to 2 years.
- Server logs: up to 90 days.
After these periods, data is securely deleted or anonymised.
9. Your Rights
Under the Data Protection and Privacy Act, 2019, you have the right to:
- access the personal data we hold about you;
- request correction of inaccurate or incomplete data;
- request deletion of your data;
- object to or restrict certain processing;
- withdraw consent at any time (for example, by unsubscribing).
To exercise any of these rights, email privacy@tourism.go.ug or info@tourism.go.ug. We will respond within the period required by law. You also have the right to lodge a complaint with the Data Protection Office of the National Information Technology Authority – Uganda (NITA-U).
10. Children
This website is intended for general audiences and is not directed at children under 16. We do not knowingly collect personal data from children under 16. If you believe a child has provided us personal data, please contact us so we can delete it.
11. AI Assistance
The “Pearl” assistant provides AI-generated answers based on official Ministry content using retrieval-augmented generation (RAG). Answers may occasionally be incomplete or inaccurate, and we advise that you verify important details (such as permits, fees and opening times) on the official service portals. Do not enter sensitive personal information into the assistant.
12. Changes to This Policy
We may update this Privacy Policy from time to time. Changes will be posted on this page with a revised effective date.
